Venue checklist for running a workshop

Having organised events for decades, we’ve come up with a simple checklist template that you can use to work with your venue(s).  Many venues have said this is far superior to the ‘brief’ they get from most workshop hosts.  Customise your own version with our compliments.

You can create a template for each event/venue required and update it as necessary.  We have 3 or 4 we use consistently and repeatedly.  This checklist means you get clarity with your venue, they know how to deliver well for you and expectations are managed easily in advance, giving you chance to build the relationship with them.

It includes:

  • Details of venue, including contact details, location, price agreed and timings
  • Housekeeping – including any fire alarms on day, background noise from nearby areas, heating and lighting and refreshments at the event
  • Estimated numbers (to be clarified nearer the date), delegate or room rate agreed, room layout required (see also our layout guides)
  • All your contact details for the venue, together with payment terms agreed
  • Space to record LBs (what you ‘liked best’ and want to repeat) and NTs (what you’d do to make it even better ‘next time’) – so that you can review it with your venue organiser later to fine tune your requirements for next time.
